Job Summary: The Human Resource Assistant provides both operational and programmatic support to the organization. Supports company operations by performing various duties that support administrative staff.  The Human Resource Assistant is responsible for assisting the Human Resources Department with administrative duties and special projects.

Required Knowledge, Skills and Abilities:

  • Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team
  • Must be skilled in the use of computers and other office equipment in a business environment.
  • Must maintain strict confidentiality
  • Demonstrated resourcefulness in setting priorities and proposing new ways of creating efficiencies
  • Must have a sound knowledge and ability in business correspondence and an ability to proofread for grammar, spelling and punctuation with a high degree of accuracy
  • Public Notary designation is desirable
    • Education: High school diploma or equivalent
  • Flexible, resourceful and a self-starter; able to multi-task while also being highly detail-oriented
  • Personal qualities of integrity, credibility, and a commitment to Heart Havens' mission
  • Experience in human resources administration or related fields

 

Essential Functions: Must possess the skills, abilities and working knowledge in the following areas:

Financial

 

General HR/Administrative Support

 

  • Provides Administrative support to the HR department
  • Maintain the recruiting systems
  • Provide general clerical support including faxing, photocopying, scanning and filing documents
  • Obtains employment references and telephone screening interviews
  • Assists with new employee orientation
  • Create and maintain  new employee files
  • Assist with employment verification forms and letters
  • Maintain personnel files (filing, regularly audit employee records to ensure files are accurate and up to date)
  • Data entry on the Access Database (employee reviews, new hires, garnishments and other changes)
  • Yearly purging of HR files
  • Sorts and distributes daily mail
  • Occasionally Acts as Front Desk greeter giving visitors a pleasant first impression of Heart Havens
  • Serves as first responder to phone calls into Heart Havens, transferring calls as necessary to other employees
  • Assist in special projects

PHYSICAL REQUIREMENTS/ WORK ENVIRONMENT: 

 

  • Must be able to lift 15 lbs.
  • Must be able to stand for at least 1 hour
  • Must be able to sit at computer workstation for long time periods
